PHILCON 2008: Dealers’ Information

Table Information

Dealers Set-Up and Tear-Down Hours

  • Friday: 12:00 noon – 5:00 p.m.
  • Saturday: 9:00 a.m. – 10:00 a.m.
  • Sunday set-up: 9:30 a.m. – 10:00 am.
  • Sunday tear-down: 3:00 p.m. – 7:00 p.m.

If you are a confirmed dealer for Philcon 2008, you can send an email to our webmaster (webmaster2008@philcon.org) including your web site link and we will add it on the web page listing the dealers.

Cost

  • 1 table – $70
  • 2 tables  – $170 
  • 3 tables – $310  

  • There will be no room dealers. We are, however, considering having a small number of less expensive tables in the hall near the Dealers’ Room. You would need to move your stock from these tables into the Dealers’ Room overnight, since there will be no security provided outside. A prerequisite for obtaining such a table would be placing promotional material about Philcon on your website. Price would probably be $55 per table. Dealers would be limited to 1 table in the hall.     Maximum

    You may purchase up to 3 tables.

    Deadline

    Application deadline is September 1, 2008.

    Philcon Membership for Dealers

    Anyone working in the Dealers' Room must have a Philcon membership. Dealer memberships are $40. This rate is good until November 1, providing that the check or money order is clearly marked “Dealer Memberships.” There is a limit of two memberships per table. Those people whose memberships are not purchased in advance must pay at-the-door rates. At-the-door memberships are $60. Program participants do not need to buy memberships.

    Please use the Philcon 2008 membership registration form (PDF) to obtain your membership. Feel free to make additional copies, if needed.

    Other Information

    Sales Tax

    It is each dealer’s responsibility to collect NJ sales tax (7%). Forms and information can be obtained by calling (609) 826-4400, or check http://www.state.nj.us/treasury/revenue/gettingregistered.htm. The form you want is NJ-REG. If you currently have a NYS tax number, you may be able to send NJ taxes in on that; consult the NYS tax people.

    Stock-Specific Requirements

    Art prints – dealers in art prints are welcome in our Dealers' Room. However, any art print sold in the Dealers' Room cannot also be displayed and sold in the Art Show Print Shop. Conversely, any art print title that is displayed and sold in the Print Shop cannot be sold in the Dealers' Room.

    Weapons – you may sell weapons, but they must be wrapped and the package sealed before the purchaser can take them out of the Dealers’ Room.

    Noise – There will be no loud noise-producing items in the Dealers' Room. Headsets must be provided.

    Walls – dealers expecting to lean or prop things against the walls must pad the contact points with felt or foam. Likewise, naturally, nothing may be hung, stuck, or fastened to any wall surface in the Dealers' Room. There are very few wall tables available.  Only ask for them if you must have it for your display.

    Electricity

    Electrical equipment must have either grounded (triple-prong) or polarized plugs. Power is free.

    Security

    There will be security when the room is closed.

    Parking

    There is a free, open air parking lot attached to the hotel.

    Paperwork and Payment

    Complete your Dealer Reservation Form (PDF).

    Please indicate on the Dealer Reservation form a rough estimate (by percent) of what you sell (e.g., 50% new sf, 25% used hardcover sf, 25% fannish filktapes.)

    Full payment must accompany all reservations. Checks or money orders must be payable in US dollars; checks must be drawn on a US bank. Visa, Mastercard, and Paypal can be accepted. Paypal should be directed to: Treasurer@psfs.org. Please put an explanation into the Notes section, such as “1 dealer’s table and 2 memberships.”

    No applications will be accepted unless they are accompanied by (all three):

    • A completely filled-out Dealer Reservation Form
    • Payment
    • A signed and dated release form

    The signature on the back of the form must be that of the person named on the form. Incomplete or unsigned forms, forms without payment, or payment without properly filled-in forms, will be returned.

    Confirmation, Cancellation and Mailing

    Confirmation will be sent via email. If you do not want your confirmation electronically, but prefer a hard copy, please check the space at the end of the application form.

    Should you need to cancel, we will refund your money if we are able to resell your space.  There will be no refunds issued after November 1, 2008.

    All checks and forms should be sent to me. Please send your completed Dealers' Room application, Philcon 2008 registration forms, and a check or money order covering table payment and any additional memberships, made out to Philcon 2008, to Devra Langsam at the address on the form.
